How we build it
1. Score the database
AI reads every record in your CRM (or whatever cold data you have) and scores reactivation likelihood per contact.
- Score by recency, last engagement, deal stage at exit, ICP fit
- Per-contact reason-for-cold classification (lost on price, bad timing, ghosted, churned, etc)
- Negative filters: do-not-contact, opt-outs, regulatory holds
- Top 5 to 20 percent flagged for first wave
2. Segment by why they went cold
Different reactivation reasons need different messages. We don't send one campaign to everyone.
- Price-sensitive cold leads get a different angle than ghosters
- Churned customers segmented by churn reason (product, support, price)
- ICP-fit leads who never bought get top priority
- Recently dormant separated from very old (different message)
3. Personalize and draft
Each message is drafted from the contact's actual history with you, not from a template.
- Per-contact message drafted from their CRM history
- Reference to their actual previous interactions, not generic 'we noticed you'
- Multi-touch sequences with non-template follow-ups
- All messages in your voice, learned from past sent messages
- Always human-approved before send
4. Send and track
Messages go through your team's existing email or SMS tooling. Replies route back into your CRM. The engine learns what brings people back.

- SMS where opt-in permits and regulations allow
- Reply detection and CRM record updates
- Reactivation rate tracking by segment, angle, and message
- Monthly review of what is working with the sales team
Edge cases we handle
- Small CRMs under 500 records. Not enough lift to justify the build. We tell you up front.
- Heavily regulated reactivation (financial, healthcare). We add a compliance review and consent verification step.
- GDPR or CAN-SPAM concerns. We honor opt-outs strictly and check consent records before any send.
- CRMs in bad data shape. We do a cleanup pass first or recommend skipping until the data is healthier.
